The structural difference
A traditional PABX is built around dedicated telephone wiring and fixed line and extension cards. Capacity is physical: a certain number of extensions are supported, and exceeding that means adding hardware.
An IP PABX runs over your data network. Extensions are configuration rather than wiring, handsets connect to the same network points as computers, and remote or branch extensions are provisioned rather than cabled.
Growth is where the difference shows
For an organisation whose headcount and layout are stable, a traditional system that already works is not a problem to be solved. The case for change appears when growth arrives.
Adding ten staff to a traditional PABX may mean cards, cabling and a scheduled visit. On an IP PABX, it usually means provisioning ten extensions and placing ten handsets on existing network points — assuming the cabling and switching were planned for it.
- New extensions — hardware and cabling versus configuration
- Office moves — re-cabling versus plugging the handset in elsewhere
- New branch — a separate system versus extensions on the same numbering plan
- Remote staff — generally not supported versus an extension wherever they are
- Call flow changes — an engineering visit versus an administrative change
Call handling features you will actually use
IVR menus, hunt groups, queues, voicemail, call recording and call reporting are where a phone system either helps or annoys. The value is in designing them around how your callers behave, not in how many features are listed.
The questions worth answering are simple: who answers first, what happens on no answer, what happens after hours, and how a caller reaches a specific department without explaining themselves twice.
The dependency you take on
An IP PABX depends on your network. Cabling, switch capacity and switch power all carry your calls, which means network weaknesses become telephone weaknesses.
That is manageable, but it must be assessed before committing rather than discovered through call quality complaints. Where cabling or switching is not adequate, that work belongs in the project scope.
What happens when power or internet fails
Traditional systems have their own failure modes; IP systems have theirs. Either way, deciding what happens to incoming calls during an outage — diverting to mobile numbers, for example — is part of a proper design.
Ask about this explicitly during planning. A phone system that has no answer for an outage is a phone system that will surprise you during one.
Migrating without a bad week
Most of the risk in replacing a phone system is in the cutover, not the equipment. Existing numbers, trunk arrangements and how many simultaneous calls you need have to be confirmed with your provider before the change, not during it.
A sensible migration maps call flow first, checks the network, provisions and tests in parallel with the old system, then cuts over with the previous arrangement still available while things settle.
