Start with the floor plan and the headcount
Everything downstream depends on two documents: the layout you are fitting out and the number of positions on it. From those come outlet counts, access point positions, switch capacity, phone extensions and rack size.
Mark the intended use of each area as well — meeting rooms, reception, server or comms room, store, pantry, plant areas — because usage changes the requirement more than area does.
- Positions per area, including hot desks and shared points
- Rooms needing screens, video conferencing or presentation connectivity
- Areas where printers, access control or CCTV will need network points
Order the internet circuit early — it sets your timeline
Internet circuit delivery is usually the longest lead item in an office fit-out and the one nobody controls. Start the conversation with providers as soon as the premises are confirmed, not when the furniture arrives.
Confirm where the provider will terminate the service in the building, because the network design has to reach that point. If a backup connection is wanted, arrange it at the same time.
Define the comms room properly
A cupboard with no ventilation is the most common cause of avoidable equipment failure. The comms room needs space to work, power, cooling, a clean route in for cables and somewhere to mount the rack securely.
Position matters too: cable lengths, and therefore cost and performance, all radiate from this point.
- Ventilation or cooling appropriate to the equipment load
- Dedicated power circuits and a UPS position
- Physical security and controlled access
- Space in front of and behind the rack to work safely
Rack, cabling and containment
Specify the rack, patch panels, cable management and containment before cabling starts. Cabling installed without a containment plan is what produces the tangles that make later changes expensive.
Choose the cable category for the life of the installation rather than for today's switches, and agree spare capacity in writing — extra outlets and containment room cost little now and a great deal later.
Switching, firewall and addressing
Switch capacity follows the outlet count, plus Power over Ethernet for access points, phones, cameras and door controllers. The firewall or router terminates the internet service and enforces what may talk to what.
Agree the addressing plan and VLAN structure before configuration begins: staff, guests, voice, cameras, door controllers and building services generally belong on separate segments.

Wi-Fi as part of the design, not an afterthought
Access point positions need cables, and cables need to be installed while ceilings are open. Deciding wireless coverage after the ceiling is closed is the most expensive way to do it.
Plan separate staff and guest networks from the start, and agree where roaming needs to be seamless — corridors, stairwells and large open floors are where it is noticed.
Telephony and other systems that share the network
IP telephony, CCTV, access control, building services and screens all commonly use the same cabling and switching. Coordinating them in one design avoids duplicated cable runs and conflicting requirements.
Confirm extension numbering, call routing and any number porting arrangements early, since provider-side changes take time.
Power protection
A UPS on the network equipment keeps the internet connection, switching and phones alive through short interruptions, which is usually the difference between a brief inconvenience and an office that stops working.
Size it against the equipment it must actually support and decide in advance what is deliberately excluded.
Testing, labelling and as-built records
Every outlet should be tested and the result recorded, every link labelled at both ends, and the finished installation documented. This is the part of the project you rely on for years afterwards, and it is also the part most often dropped to reduce a price.
Ask for the test records and drawings as a handover deliverable so their absence is obvious.

Cutover and the first weeks
Plan the cutover as a sequence: circuit live and tested, core equipment configured, cabling proven, wireless validated, phones tested, then users moved. Trying to do all of it on moving day is what produces a bad first week.
Agree who to call for what afterwards, and how faults are reported and escalated, before the office opens.
