Coverage area and building layout come first
Wi-Fi cost tracks the building far more closely than it tracks the headcount. Floor area, the number of floors, wall construction, glass partitioning, lift shafts and plant rooms all decide how many access points are needed to give usable signal everywhere people actually work.
A large open-plan floor may need fewer access points than a smaller floor divided into solid-walled rooms. That is why an area figure alone is never enough to price a business Wi-Fi project honestly.
Access point count and client density
Access point count is the single largest equipment line. It is driven by coverage and by density — how many devices will use the same space at once. Meeting rooms, training rooms, canteens and contact-centre floors concentrate devices and need more capacity than their floor area suggests.
Counting devices rather than staff matters here: laptops, phones, handhelds, tablets, payment terminals and video units all attach to the same wireless network.

Survey work: predictive or on site
A predictive design from drawings is quicker and cheaper. An on-site survey with measurements costs more and produces a design that reflects the building as built rather than as drawn.
Warehouses, hotels, older buildings, factories and anywhere with heavy machinery or unusual construction are the places where survey work repays itself, because guessing there tends to be expensive in rework.
Wi-Fi generation and hardware class
Newer Wi-Fi generations cost more per access point and generally handle dense environments better. The right choice depends on the devices you actually run and how long you expect the installation to serve before replacement.
Outdoor, industrial and high-ceiling access points, along with the mounting hardware and enclosures they need, sit in a different price band from standard indoor units.
PoE switching, cabling and power
Every access point needs a data cable back to a switch and Power over Ethernet from that switch. Switch capacity, PoE budget, uplinks and any rack work are part of the Wi-Fi project even though they are not wireless equipment.
Where existing cabling is unusable, or where new access point positions have no cable at all, cabling can exceed the wireless hardware cost — particularly in finished ceilings and across roof spaces.

- Containment and making good in occupied spaces
- UPS protection for switches so Wi-Fi survives a short outage
Guest and staff separation
Keeping visitors away from internal systems means separate networks, VLANs on the switching, firewall rules and often a guest portal. Each of those is small on its own and together they represent real configuration work.
Segmentation is also where quotations diverge quietly: one may include a properly separated guest network and another only a second wireless name on the same flat network.
Management: controller, cloud or standalone
Standalone access points are cheapest to buy and hardest to operate consistently. Controller-based or cloud-managed systems add licence or hardware cost and make configuration, monitoring and troubleshooting far easier across a site or several sites.
If a quotation includes cloud management, check what happens at renewal, because that is an ongoing cost rather than a one-off.
Difficult access and out-of-hours work
High ceilings in warehouses, cold stores, external links between blocks, lifts, scaffolding or access equipment, and installation restricted to nights or weekends all add labour rather than materials.
These are legitimate line items. A quotation that ignores them has either not seen the site or expects to raise them later.
Validation, documentation and support
Post-installation validation — walking the site, confirming signal and throughput where people work, checking roaming between access points and recording the results — is what separates a working wireless network from installed hardware.
Documentation of names, addressing, access point positions and configuration keeps the network supportable later. Ongoing support arrangements are priced separately from the installation.
How to compare quotations fairly
Ask every bidder to state the same things: access point count and model, survey method, cabling included, switch and PoE provision, segmentation, management platform, validation method and what is excluded. Differences then become visible instead of hiding inside a single total.
